JOB DESCRIPTION

Piper Companies is currently seeking Operations Support Specialists to work with a federal agency in support of their COVID – 19 response for a Patient Safety Program in Falls Church, Virginia. The ideal candidate will have a background with Defense Health Agency, CATMS tool experience, and Defense Travel System experience.


Responsibilities for the Operations Support Specialists:  

·      Direct support to the government leads for task execution and management, scheduling appointments, coordinating travel if a large group requires off-site travel.

·      Logistics, preparing agendas and meeting minutes, tracking action items and due outs, collecting and preparing read-ahead, developing executive action/decision packages (briefs and papers and supporting documentation, and drafting any chartered deliverables, such as execution plans, and/or guidance, such as Action Memos, memorandums of Support or Agreement, and Standard Operating Procedures or Manuals.

·      Maintain all governance meeting materials, agenda, read-ahead, and meeting minutes in designated SharePoint repositories and sharing portals.

·      Provide coordination support for the COVID-19 requests to the Triage Team with such activities as track submissions, prepare documents for leadership updates and synchronization on portal submissions, and calculations using scoring.

·      Prepare package coordination documents, and coordinate and process taskings received through the correspondence system (CATMS) to prepare tasker documents for routing and coordination, track progress across multiple levels

·      Prepare draft info papers, Frequently Asked Questions, draft correspondence, and PowerPoint development. Review and edit as requested.



Qualifications for the Operations Support Specialists

·      A Bachelor's degree is required; a Master's degree highly recommended.

·      2 - (10) years of experience in administration or operations supporting the Federal Government or Department of Defense; DHA experience is highly preferred

·      Experience providing meeting support to include scheduling/coordination, preparing associated documents, and adjudicating meeting minutes is required.

·      Experience coordinating official government travel utilizing the Defense Travel System (DTS) is highly preferred.

·      Experience using CATMS is preferred.

·      Good organizational skills and excellent communication skills, both oral and written.

·      Ability to work in a fast-changing environment with a self-starter approach.
